Crown Vacation Exchange is an affordable exchange alternative for timeshare owners who want to travel to destinations other than their home resort. The mission of Crown Vacation Exchange is to help you make the most of your timeshare ownership by providing an affordable exchange alternative.
CROWN VACATION EXCHANGE TERMS AND CONDITIONS
1. Participation is strictly voluntary.
2. Representations are limited to Crown Vacation Exchange policies and procedures as published from time to time.
3. Member’s dues and assessments must be paid and current with their respective association for the week(s)/year(s)
being deposited.
4. Members must obey rules of the host resort even if significantly different than those of their home resort.
5. Crown Vacation Exchange is not responsible for loss of a week’s exchange for any reason, including but not limited to
floods, fire, hurricane, tornadoes, blizzards, other acts of nature, or Crown’s inability to confirm an exchange.
6. Vacation deposits and requests must be in accordance with Crown Vacation Exchange policy and procedure and
submitted in accordance with same.
7. We ask that you notify us as soon as possible if you need to cancel your reservation. Your exchange fee is not
refundable; however, you can put in another request to travel as long as your deposited week has not expired. You
will be charged another exchange fee if that reservation is confirmed. Another option available is the Crown
Vacation Exchange Vacation Assurance. If you purchase the Vacation Assurance and give at least 24 hours notice of
the cancellation, another travel request can be made and confirmed without additional exchange fees.
8. Crown Vacation Exchange may change policies, procedures, and fees as necessary.
9. Crown Vacation Exchange makes no guarantee regarding the quality of accommodations, units or amenities of
the resorts provided through its exchange.
DEPOSITS
1. Vacation deposits must be submitted on a Crown Vacation Exchange Deposit Form or through the Crown Vacation
Exchange website.
2. Member’s dues and assessments must be paid and current with their respective association for the week(s)/year(s)
being deposited.
3. Any fees owed to Crown Vacation Exchange must be paid prior to the owner/member receiving a confirmed vacation
exchange.
4. Deposits will be accepted with a written deposit form by the U.S. Postal Service, email, fax, or by submission on
www.CrownVacationExchange.com. A request for travel may be made after the deposit request is accepted and
approved by Crown Vacation Exchange.
5. Crown Vacation Exchange may use the deposited vacation time prior to the owner receiving a confirmed vacation
exchange.
6. Deposits must be dated no less than 30 days in advance of the vacation week owned and can be deposited as early as
one year prior to the start date of your week. Owners/Members can travel on their week as early as one year prior
to the start date of their week, or as late as one year after the start date.
7. If a vacation exchange confirmation has not been received within one year from start date of the week deposited, the
exchange privilege expires on the deposited week. Owners/Members must request and travel within one year of the
start date of the week deposited. In certain circumstances, an extension may be offered for up to 6 months for a fee.
8. Crown Vacation Exchange reserves the right to accept or reject weeks for deposit.
CROWN VACATION EXCHANGES/REQUESTS
1. Vacation exchange requests must be made on a Crown Vacation Exchange Request Form or through the
Crown Vacation Exchange website and in accordance with Crown Vacation Exchange policies and procedures.
2. Vacation exchange requests are accepted and processed if a valid deposit has been made and accepted.
3. The start date of the week deposited is the start date utilized for determining the one year period during which
Crown Vacation Exchange will attempt to confirm an exchange. Crown Vacation Exchange will not be obligated to
provide an exchange confirmation once the deposited week has expired.
4. Confirmation may be issued up to 24 hours prior to the beginning of a requested vacation week for any request on
the vacation exchange request form. Other resorts may be offered that are not on the vacation exchange request
form.
5. No guarantee is made by Crown Vacation Exchange that a vacation week can be confirmed due to the fact that
exchanges are made on a space available basis; however, every effort will be made to confirm an exchange based on
the owner/member’s request.
6. Crown Vacation Exchange will not guarantee or accept an exchange request to a specific resort association if
multiple associations or accommodations are located at one resort. Crown Vacation Exchange cannot guarantee or
accept an exchange request to a specific unit. Units vary in style and size.
7. Vacation weeks listed on the Vacation Exchange Request Form or submitted through the website will be offered to
the owner/member if available. If the owner/member chooses to accept the offer, the exchange will be confirmed
upon receipt of the exchange fee.
8. Crown Vacation Exchange accepts no responsibility for the actions of exchange members or their guests. Exchange
members are responsible for deposits, recreation fees, taxes, or other charges that may be applicable to staying at a
particular resort.
9. Crown Vacation Exchange will not set rules regarding pets, smoking, check-in/out dates, etc. as such rules are set by
each resort and all guests are required to abide by their vacationing resort’s rules. If you have any specific requests
or special needs that are required during your stay, please check with the resort you are being offered before
confirming an exchange.
10. Verbal or written approval must be obtained from Crown Vacation Exchange for exceptions to stated Crown
Vacation Exchange policies and procedures.
11. The resort reserves the right to reassign a confirmed unit to another unit of the same occupancy.
12. Crown Vacation Exchange may confirm an exchange into a unit of lesser or greater occupancy than the deposited
unit if acceptable to the owner/member making a request.
13. Exchange confirmations are non-transferrable.
14. The current Crown Vacation Exchange fee is $99.00.
15. The process and method of determining the exchange system, and the fees associated with the exchange system is
the responsibility of Crown Vacation Exchange and may be changed as necessary.
AFTER MAKING A REQUEST
If the space requested is available, the owner/member will be contacted and offered a match. The matched week may be held in their name for 24 hours. If they do not agree to the match within 24 hours, the week may be offered to another owner/member. If the owner/member agrees to the match, the exchange will be booked and confirmed upon receipt of the $99.00 exchange fee.
If the space requested is not available, the owner/member may be offered an alternate match. As stated above, the alternate week may be held in their name for 24 hours. If they agree to the alternate match, the exchange will be booked and confirmed upon receipt of the $99.00 exchange fee. If they choose to wait for their requested resort(s)/date(s), the week will be released and may be offered to another owner/member.
Crown Vacation Exchange will contact the owner/member when there is an available match. If the requested date range is getting near or the deposited week is close to expiring and the owner/member has not been contacted, they may want to consider making additional requests to increase the chance of a confirmation. Crown Vacation Exchange is not responsible for expiring deposits or requests. It is up to the owner to contact Crown Vacation Exchange prior to the expiration of their deposited week in order to make another request if their requested travel dates should pass without a match being found. In some cases, an extension may be offered on an expiring week; however, a fee will be required to take advantage of this service.
The $99.00 exchange fee must be paid before the match can be booked and confirmed. The exchange fee rate is subject to change without notice.

OTHER IMPORTANT INFORMATION
Unit size varies by resort; however, we will attempt to confirm your occupancy into the same size unit as your deposited week. Please keep in mind that while we may attempt to match you into a unit comparable to or greater than what you own, that may not always be possible. If a week becomes available at a location you requested, we will offer that week to you in the unit that was deposited. You can choose whether to accept or deny the offer based on your vacation needs.
Check-in days vary (most common are Friday, Saturday, and Sunday) and are determined by each individual resort. You may be offered a check-in day that does not match the check-in day of your deposited week.
Crown Vacation Exchange will make every effort to confirm an exchange request. The supply of inventory being deposited and the demand of each location/week will impact the vacation exchange process. Planning early and being flexible will be to your advantage when requesting an exchange. Listing multiple locations and dates will increase the odds of confirmation. Confirmations may be issued as close as 24 hours in advance of the requested week. The greater your flexibility, the greater your chance of success. You can reserve your vacation deposit for up to one (1) full year if you choose to vacation at a later date.
